This Privacy Policy explains how 17049854 CANADA INC., operating as Swift Shipping ("we", "us", "our"), collects, uses, discloses, and protects your personal information when you visit swiftshipping.ca or use our services. We collect only the information needed to provide and improve our freight forwarding services:
- Quote form data: name, email, phone number, company (optional), cargo description, destination country / port, departure window, referral source
- Vehicle details (when applicable): year, make, model, VIN, operability status, condition
- Payment information: processed directly by Stripe; we receive only confirmation tokens, never your full card number
- Account / portal data: booking reference, shipment status, document downloads
- Usage data: pages visited, browser type, IP address, timestamps (via Google Analytics 4 and Microsoft Clarity)

2. Why we collect it
- Responding to your quote requests within 24 hours
- Booking ocean carrier sailings, generating Bills of Lading, filing CBSA B13A export declarations, and tendering cargo to carriers
- Sending shipment status updates and required transactional emails (booking confirmations, milestone notifications, document delivery)
- Customer support and dispute resolution
- Improving our website performance and user experience via aggregated analytics
- Compliance with Canadian customs, tax, and freight-industry record-keeping obligations
3. Who we share with
We only share your personal information with trusted third parties who help us deliver services:
- Ocean carriers (Maersk, Hapag-Lloyd, MSC, CMA CGM, Grimaldi, and others as applicable to your booking) — to book vessel space and issue Bills of Lading
- Customs brokers (origin and destination) — to file customs declarations
- Payment processors (Stripe) — for deposit and balance payments
- Email infrastructure (Resend) — to deliver transactional emails
- Web hosting (Render, Cloudflare) — to operate this website
- Analytics (Google Analytics 4, Microsoft Clarity) — for usage statistics; you can opt out via our cookie banner
- Error monitoring (Sentry) — for diagnosing service errors; no personal data is intentionally sent
We do not sell your personal information to third parties for marketing purposes.
4. Where it's stored
Your information is stored on servers operated by Render (Oregon, USA) and processed by service providers located in Canada, the United States, and other jurisdictions. By using our services, you consent to this cross-border transfer of your personal information.
5. How long we keep it
We retain quote and shipment records for at least 7 years after completion, as required by Canadian tax law (Income Tax Act) and CBSA export record-keeping obligations. Quote requests that do not result in bookings are retained for up to 24 months for follow-up. After applicable retention periods, records are securely deleted or anonymized.
6. Your rights
Under PIPEDA, you have the right to:
- Access: request a copy of personal information we hold about you
- Correct: ask us to fix inaccurate information
- Withdraw consent: opt out of marketing communications (note: transactional emails required for active shipments cannot be withdrawn)
- Delete: request deletion of personal information no longer required for legal retention
- Complain: to the Office of the Privacy Commissioner of Canada at priv.gc.ca

7. Security
We use industry-standard security measures including HTTPS/TLS encryption for all data in transit, encrypted-at-rest databases, two-factor authentication on administrative accounts, and access controls limited to staff with operational need. Despite these measures, no internet transmission can be guaranteed 100% secure; we encourage you to use strong, unique passwords when applicable.
8. Children
Our services are intended for users 18 years of age and older. We do not knowingly collect personal information from children under 18. If you believe we have inadvertently collected such information, contact us immediately and we will delete it.
9. Updates to this policy
We may update this Privacy Policy from time to time. Material changes will be announced via email to active customers and posted at the top of this page with a new "Last updated" date. Continued use of the service after an update constitutes acceptance of the revised policy.
